Purchasing
The Town of Brookhaven Division of Purchasing procures supplies, materials, equipment, construction of buildings and various other services. In addition, all telecommunication matters are coordinated through the Purchasing Division. Any request regarding telecommunications should be directed to (631) 451-6915.
In order to familiarize yourself with the Town of Brookhaven’s needs in these areas, it is recommended that you visit our office any business day between the hours of 9:00 am and 4:30 p.m. There you can view the office bulletin board, which posts all Notices to Bidders. Our staff is ready to assist you with any information you may need. For non-bid items and further information, you can make an appointment to speak with Purchasing Division personnel. Note: The Town welcomes minority and women-owned businesses.
Formal bids for the Town of Brookhaven: In accordance with NYS General Municipal Law, except for sole source items and emergency requirements, purchases in excess of $10,000 and public works projects (labor involved) in excess of $20,000 are formally advertised for bid in the legal section of various local newspapers. These ads list the items being bid and the date the bids will be opened. Interested parties are invited to attend the sealed bid openings, which are conducted in the Purchasing Division at 11:00 am on the date specified. When formal bidding is not necessary, the Purchasing Division’s basic objective is to obtain maximum value for the tax dollar. We accomplish this goal by soliciting informal proposals from a variety of possible suppliers. Interested parties are encouraged to meet with Division of Purchasing personnel to discuss the Town’s needs in this instance.
RFP Packages
If it is necessary to make material changes to the RFP, the Town will mail, fax or e-mail written RFP addendum to all recipients of record of the original RFP. Recipients of record are those parties that obtained a copy of the RFP directly from the Town of Brookhaven, Division of Purchasing, by mail or in person. It shall be the responsibility of the Proposer to inquire as to any addendum issued.
